Procurement Officer
Job Summary:
The Procurement Officer is responsible for overseeing and managing the procurement process to ensure the timely and cost-effective acquisition of spare parts. This role involves collaborating with Managers, identifying vendor options, monitoring orders, and maintaining inventory levels. To perform this job successfully the Procurement Officer will be expected to comply with quality standards, regulations, and budget constraints while maintaining accurate documentation and reporting.
Job Responsibilities:
1. Procurement Planning and Strategy:
- Identify pocurement needs and requirements for spare parts.
- Conduct market research if required to identify potential suppliers and pricing.
2. Purchase Order Processing:
- Prepare purchase orders and review purchase requisitions for accuracy and completeness.
- Ensure timely processing and approval of purchase orders.
3. Order Tracking and Logistics:
- Monitor the status of orders.
- Address any order delays or discrepancies and implement corrective actions.
- Submit discrepancy claims and follow up for payment.
- Update order logs and provide price, ETA and any other requested information.
- Timely review and submission of SOR requests.
- Review of new models and addition of part numbers to system to cover expected parts requirements.
- Setting and review of prices.
- Review of aged stock.
- Carry out part number updates as needed, including part number changes.
4. Inventory Management:
- Anticipate inventory needs and replenish stock as required to avoid shortages.
5. Documentation and Reporting:
- Submit Reports monthly to management/ suppliers as required.
Job Requirements:
- Bachelor's degree in supply chain management or a related field.
- Proven experience as a Procurement Officer.
- Knowledge of procurement processes, relevant procurement regulations, and industry standards.
- Excellent negotiation and communication skills to interact with customers and suppliers.
- Strong analytical and problem-solving abilities.
- Effective time management and organizational skills to meet procurement deadlines.
- Ability to work independently and as part of a team.
- Flexibility to adapt to changing project requirements and procurements needs.
- Must be proficient in Excel. PowerPoint would be an asset.
- Overseas travel may be required, a valid passport needed.
